Why CountHound waits a night before alerting

Why a count that looks off gets checked twice before you hear about it.

The short version

When a count changes with no order behind it, CountHound checks it again the next night before it bothers you. Most of the time the gap closes on its own, and you never hear about it. When it doesn't, you know it's real.

What counts as an unexplained change

Every night, CountHound works out what each product's count should be: the last count it trusted, minus what sold, plus what was restocked by Shopify or by CountHound. If Shopify's count doesn't match, that's an unexplained change. Any difference counts, even a single unit.

Why not alert right away

A count can look wrong for a few hours for ordinary reasons. An order might still be in flight, or a notification from Shopify might arrive late. Alerting on those would mean emails about problems that fix themselves, and you'd soon learn to ignore them.

So the first time CountHound sees a gap, it makes a private note and doesn't email you or show it on your dashboard.

What happens the next night

CountHound checks the same product again, at least 20 hours later.

  • If the gap is gone, the note is cleared quietly. The item's History shows that it resolved automatically.
  • If the gap is still there, it becomes an alert. You'll see it under Needs review on your dashboard, and you'll get one email saying the difference was confirmed across two nightly checks.

Resolving an alert

Each alert shows the item, the count CountHound expected, and the count Shopify shows.

  1. Check the item. Maybe someone counted stock, fixed a mistake, or recorded damage.
  2. Click Resolve.
  3. Optionally, note what explained it. The note is saved in the item's History.

When you resolve an alert, CountHound accepts Shopify's current count as its new starting point, so the same gap won't be flagged again.

CountHound never changes your inventory to fix an unexplained change. It tells you about it and leaves the decision to you.
